Not every eGrow store ships through a third-party carrier. Many run their own delivery team β in-house couriers on scooters or in vans who pick up parcels and deliver them by hand. eGrow supports this end to end: you set it up once, assign each order to one of your couriers, and your couriers update every parcel's status from their phone as they go. This guide walks through all three levels of running your own fleet.
How it works, in three levels
- Level 1 β Set it up once in Settings β Shipping: choose which team are your couriers and how parcels behave.
- Level 2 β Use it per order: in an order's Delivery card, pick My Couriers instead of an external carrier and hand the parcel to a courier.
- Level 3 β Your couriers deliver: each courier opens the Delivery Center on their phone, sees only the parcels assigned to them, and moves each one through its statuses until it's delivered.
Before you begin
- A plan that includes Own Delivery / My Couriers. If the option doesn't appear, check your plan at https://v2.egrow.com/settings/plan.
- A team that contains your couriers. Add each courier as a regular (non-admin) user and put them in one team β that team becomes your fleet.
- Your order stages in place, so delivered and returned parcels can move your orders to the right stage automatically.
Level 1 β Set up your delivery team (Settings β Shipping)
Open Settings β Shipping at https://v2.egrow.com/settings/shipping. The page has two sections.
Delivery settings
- Couriers team β choose the team whose members are your couriers. Only these people receive deliveries and appear in the courier picker on an order. This is the single most important setting β nothing works until it's set.
- Tracking prefix β a short prefix (for example
LUM-) added to the front of every auto-generated tracking number, so your parcels are easy to recognize. - Auto-generate tracking β on by default. eGrow creates a unique tracking number for each parcel automatically. Turn it off only if you prefer to type your own number every time.
- Auto-assign β off by default. When you turn it on, eGrow creates the delivery automatically the moment an order reaches a stage you choose β so you never open the order to dispatch it by hand. Enabling it reveals:
- Auto-assign stage β the order stage that triggers automatic delivery creation (for example, a "Ready to ship" stage).
- Delivered stage β the order stage an order moves to when a courier marks its parcel Delivered.
- Returned stage β the order stage an order moves to when a parcel comes back as Returned.
Click Save. Setting the delivered and returned stages is what keeps your pipeline and your analytics accurate without any manual moves.
Branded tracking page
The second section turns on a public, customer-facing tracking page for your own-fleet parcels β the same experience customers get from a big carrier, but with your brand:
- Enable the tracking page, then set your brand name, brand color, and brand logo.
- Tracking username β a short handle (for example
acme-store) used in the public link. - eGrow then shows a ready tracking link you can copy, in the form
https://β¦/track/your-username?trackingNumber=β¦&token=β¦. Share it with customers (or let an automation send it) so they can follow their parcel in real time.
Level 2 β Ship an order with your own team
Open any order (from https://v2.egrow.com/orders or the Orders centers) and find the Delivery card. At the top is a method toggle:
- External carrier β the usual flow where you create a parcel through a connected carrier integration.
- My Couriers β your own delivery team. Select this.
You'll see a short form:
- Select courier β pick which courier (from your couriers team) will carry this parcel. Their photo and name appear in the list.
- Tracking number β leave it on Auto to have eGrow generate one (using your prefix), or switch to Manual to type your own.
- COD amount (optional) β the cash the courier must collect from the customer on delivery. Leave blank for already-paid orders.
Click Ship with my carrier. eGrow creates the delivery, assigns it to that courier, and generates the tracking number. The card then switches to a tracked view showing the tracking number (with a copy button and a copyable public tracking link), the assigned courier, the COD to collect, and a live timeline of the parcel's status. A status badge in the card header shows where the parcel is right now.
Switching back: if you flip the toggle from My Couriers back to External carrier, eGrow asks you to confirm and then ends the in-house delivery β so a parcel is never in two places at once.
Tip: if you turned on Auto-assign in Level 1, you can skip this card entirely for most orders β eGrow creates the delivery automatically when the order reaches your chosen stage, and it simply appears in the courier's list.
Level 3 β Your couriers deliver from their phone
This is where your couriers live. A courier logs into eGrow on their phone and opens the Delivery Center at https://v2.egrow.com/centers/delivery. Because a courier is a regular team member (not an admin or owner), they don't see the whole order center β they see a focused view of only the parcels assigned to them.
The parcel list
Each courier sees a searchable list of their parcels with the tracking number, the recipient (with a tap-to-call phone number), the address, the number of items, the COD to collect, and the current status. They can search and filter by status to focus on, say, everything that's still Out for delivery.
The parcel detail
Tapping a parcel opens its full detail, designed for someone on the move:
- A journey tracker showing the parcel's progress: Created β Picked up β In transit β Out for delivery β Delivered, with the current step highlighted. If a parcel goes off the normal path (a failed attempt, refusal, or return), it shows a clear "Needs attention" banner instead.
- The recipient and address, with a one-tap link that opens Google Maps directions, and a one-tap Call button to phone the customer.
- The COD amount to collect, highlighted so it's impossible to miss.
- The items in the parcel and the order total.
- A timeline of every status update β each with a time stamp, and, where added, a note and a proof photo (for example, a photo of the delivered package).
Changing a parcel's status
At the bottom of the detail, the courier gets a big "Mark as β¦" button for the natural next step, plus smaller buttons for the other valid options. The status can also be changed straight from the list. Every change is instant: it updates the order, the customer's branded tracking page, and your reports.
eGrow only ever offers the next steps that make sense, following this workflow:
- Created β Picked up, or Canceled
- Picked up β In transit, or Returned
- In transit β Out for delivery, or Returned
- Out for delivery β Delivered, Failed attempt, Refused, or Returned
- Failed attempt β Out for delivery (try again), Refused, or Returned
- Delivered, Returned, Refused, and Canceled are final β the parcel is done.
When a courier marks a parcel Delivered, the order automatically moves to your Delivered stage; a Returned parcel moves the order to your Returned stage (both set in Level 1).
Best practices
- Give couriers their own team, kept non-admin. That's what lands them directly in the clean, phone-friendly courier view instead of the full order center.
- Always set your Delivered and Returned stages. They keep your pipeline and analytics correct on their own, every time a courier updates a parcel.
- Turn on Auto-assign once you trust the flow so dispatch happens automatically at the right stage and no order waits to be sent.
- Enable the branded tracking page so customers can follow their own-fleet parcels exactly like a carrier shipment β fewer "where is my order?" messages.
- Ask couriers to add a proof photo on delivery so every drop-off is documented on the timeline.
